SharePoint Administrator/Developer for Glanbia plc reports: “KWizCom’s List Aggregator has enabled us to overcome the shortcomings in aggregating information in SharePoint…”
Case study: Glanbia Plc, November, 2009
Glanbia plc is a leading international cheese and nutritional ingredients Group, headquartered in Ireland. Glanbia was formed in 1997 from the merger of two of Ireland's leading publicly quoted dairy food companies - Avonmore Foods plc and Waterford Foods plc.
Glanbia has operations in Ireland, Europe, USA and China with international joint ventures in the UK, USA and Nigeria. International operations include Food Ingredients & Nutritionals, while Irish operations incorporate Consumer Foods and Agribusiness & Property.
The Group has three strategic joint ventures, which are based in the UK, USA and Nigeria.
A number of Glanbia business units identified areas where improvements to business processes were necessary. Areas targeted included: general improvement in the management of Audits/Inspections, Accidents/Incidents, Enterprise Document Management, Risk Management and some business processes such as Capex Requests.
Glanbia decided to provide a suite of applications to facilitate a systematic and efficient approach to managing the aforementioned areas. It was decided that the platform of delivery for these applications would be Microsoft Office SharePoint Server 2007.
Glanbia has implemented the Audits and Inspections system and are currently in the process of implementing Enterprise Document Management and Accident/Incident Management.
Out of the box SharePoint functionality did not provide all the necessary capabilities. Fundamental to all the applications in the suite is the process of recording and managing a non-compliances, accident records, corrective actions, review tasks etc. and it was crucial to the success of the systems that assignees of non-compliances and actions etc can easily see what items are assigned to them and need attention.
The general strategy when designing the suite of applications was to (as much as possible) use “out of the box” MOSS 2007 functionality. At first it was thought that the SharePoint “Content Query Web Part” would be used to aggregate all items that are assigned to an individual but it was quickly discarded as it has very limited functionality when aggregating list items and the user interface is also very basic. A number of third party web parts were evaluated in the Glanbia development environment but none provided the rich and intuitive user interface that was required and some of them were also very complex to configure. After much testing Glanbia discovered KWizCom’s SharePoint List Aggregator which provided the necessary functionality and came out on top with respect to ease of configuration and user interface.
The “KWizCom SharePoint List Aggregator” web part is now a core feature of the application suite that Glanbia is implementing across the group. The “KWizCom SharePoint List Aggregator” web part is used to present individual users of the applications with a quick view of their outstanding non-compliances, actions, review tasks etc. It facilitates the end users management of these list items, which are located on disparate SharePoint sites, in one location and it saves the user the laborious job of browsing through numerous sites looking for items that are assigned to them.
The web part is deployed at the root site of each of the applications in the suite so that when the user lands on the homepage of the application they are immediately presented with an aggregated list of all items that need their attention. As further applications in the suite go live, Glanbia is going to use the “KWizCom SharePoint List Aggregator” web parts in a dashboard type scenario where a user can see Capex Approval tasks, Document Review tasks and Corrective Actions, from all the applications, on one page.
The ease of deploying and configuring the KWizCom SharePoint List Aggregator means that after setup there is little or no management of it - a major factor in why Glanbia chose to implement this web part.
Karl Power, SharePoint Administrator/Developer for Glanbia says: “KWizCom’s List Aggregator has enabled us to overcome the shortcomings in aggregating information in SharePoint. It has facilitated the end users management list items, which are located on disparate SharePoint sites, in one location and it saves the user the laborious job of browsing through numerous sites looking for items that are assigned to them. From an administrative perspective the ease of deploying and configuring the KWizCom SharePoint List Aggregator means that after setup there is little or no management of it.=
KWizCom SharePoint List Aggregator plays an important role in the overall drive for improvement and efficiency within Glanbia in that the component ensures that information workers are presented with key tasks and actions that need their attention. The ability for a user to access information that may be relevant to a number of different applications, on one page, reduces the time that a user needs to spend closing tasks, actions etc.
KWizCom SharePoint List Aggregator and it’s rich user interface means that while a user is presented with lots of information in a single web part, it’s easy to see the information in the correct context and respond accordingly
Another benefit of the KWizCom SharePoint List Aggregator was that the installation was very easy and it was ready to use with very little configuration.
The web part came as a “prepackaged”, complete solution which saved considerable time and money when to the alternative - developing a custom in-house solution.
